ZAHN Management UK Ltd is the data controller responsible for your personal data for the purposes of the UK General Data Protection Regulation and the EU General Data Protection Regulation, where applicable. a. Information you provide to us

We collect information that you choose to provide, including:

  • Account information such as your name, email address, phone number, and login credentials
  • Profile information such as preferences, feature settings, and saved locations known as "Saved Spots"
  • Check-in information confirming that you have arrived safely at a location when you choose to use the check-in feature
  • Support communications including messages, feedback, or enquiries you submit to us

You are not required to provide optional information, but some features may not function without it.

b. Information collected automatically

When you use the Service, we may automatically collect certain technical information, including:

  • Location data, including precise foreground and background location data, when you explicitly grant permission. Location data is used solely to enable core safety features such as live location sharing, Saved Spots, check-ins, and other safety-related functionality. You can pause or disable location sharing at any time using the Ghosting feature or your device settings.
  • Usage and diagnostic data such as app interactions, feature usage, crash reports, and performance metrics
  • Device information including device type, operating system version, app version, and language settings
c. Information from third-party service providers

We receive limited technical data from trusted third-party service providers that support the operation of the Service, such as authentication services, cloud infrastructure providers, analytics and crash-reporting tools, and notification delivery services. These providers process personal data only on our instructions and are contractually required to protect it and use it solely to provide services to ZAHN.

We process personal data only where we have a lawful basis to do so under applicable data protection laws. These legal bases include:

  • Consent, where you have given explicit permission, such as for precise or background location data, notifications, and optional safety features
  • Performance of a contract, where processing is necessary to provide the Service and its core functionality when you create and use a ZAHN account
  • Legitimate interests, where processing is necessary to maintain platform security, prevent misuse, improve app performance, and ensure user safety, provided these interests are not overridden by your rights
  • Legal obligations, where processing is required to comply with applicable laws or regulatory requirements

You may withdraw your consent at any time through your device settings or in-app controls.

  • Provide, operate, and maintain the ZAHN app and its safety features
  • Enable live location sharing, Saved Spots, check-ins, and Ghosting controls
  • Deliver safety-related notifications and confirmations

  • Monitor app performance, improve reliability, and resolve technical issues

How we share your information

We do not sell personal data and do not share personal data for advertising or marketing purposes. We may share limited personal data only in the following circumstances:

  • With your direction, when you choose to share your live location, check-in status, or Saved Spots with selected contacts through the app
  • With trusted service providers who assist us in operating the Service, under binding data protection agreements
  • Where required by law, legal process, or to protect the rights, safety, or security of ZAHN, our users, or the public
  • In connection with a merger, acquisition, restructuring, or sale of assets, subject to appropriate privacy safeguards

Location data is central to how ZAHN works and is handled with particular care.

Location data is never used for advertising, marketing, profiling, or sale to third parties.

  • Location data is collected only with your explicit permission
  • You may choose between foreground and background location access
  • You can pause live location sharing at any time using the Ghosting feature
  • You can remove Saved Spots and stop sharing check-ins at any time
  • You can revoke location permissions through your device settings

Depending on your location, you may have the right to:

  • Access the personal data we hold about you
  • Request correction of inaccurate or incomplete data
  • Request deletion of your personal data, subject to legal limitations
  • Restrict or object to certain processing activities
  • Withdraw consent for location sharing or other permissions at any time
  • Lodge a complaint with a supervisory authority — in the United Kingdom, this is the Information Commissioner's Office (ICO), reachable at ico.org.uk or 0303 123 1113

You may delete your account at any time through the app or by contacting us. When an account is deleted, live location sharing immediately stops and personal data is scheduled for deletion in accordance with our retention practices. Requests can be made by contacting us at legal@zahnapp.com.

Data retention

We retain personal data only for as long as necessary to fulfil the purposes described in this policy.

  • Account data is retained while your account remains active
  • Following account deletion, data may be retained for up to thirty days where necessary for security, fraud prevention, dispute resolution, or legal compliance
  • Data may be retained in anonymised or aggregated form for analytics and service improvement

Data security

We implement appropriate technical and organisational measures to protect personal data, including:

  • Encryption of data in transit using secure protocols
  • Secure authentication mechanisms
  • Ongoing system monitoring and regular updates
  • Periodic security reviews and testing

While we take reasonable steps to protect personal data, no system can be guaranteed to be completely secure.

The Service is not intended for children under the age of 13 in the United Kingdom, or below the applicable age of digital consent in other jurisdictions (which may be up to 16 in certain EU member states). We do not knowingly collect personal data from children and do not permit children to create accounts.

If we become aware that personal data has been collected from a child without appropriate consent, we will take reasonable steps to delete the information promptly and disable the associated account. Parents or legal guardians who believe that a child has provided us with personal data may contact us so that we can investigate and take appropriate action.

SMS / mobile messaging

When you provide your mobile phone number to ZAHN during account registration or login, you consent to receive SMS messages from ZAHN for account authentication purposes, including one-time verification codes (OTPs). Message frequency varies and is typically 1–2 messages per sign-in or account action. Message and data rates may apply depending on your mobile carrier and plan.

You may opt out of SMS messages at any time by replying STOP to any message you receive from us. For help, reply HELP. Opting out will prevent you from receiving verification codes via SMS, which may affect your ability to sign in to your ZAHN account. You can resubscribe at any time by replying START.

Mobile information and opt-in consent will not be shared with third parties or affiliates for marketing or promotional purposes. Sharing with sub-contractors in support of services such as customer service or fraud prevention is permitted.

Updates to this privacy policy

We may update this Privacy Policy from time to time. Material changes will be communicated through the app or our website. Continued use of the Service after an update takes effect constitutes acceptance of the revised policy.
